Domestic Trips

Single Day Trips & Courses

Scheduled Trips and Courses

  • Over 30 days prior to trip start date, the entire course fee and deposit is refunded less a 10% administrative fee on the 25% deposit. If balance has been paid prior to 30 days prior there is a 3% admin fee on the total balance.

  • From 30 - 7 days prior to the trip start date, you may receive a credit for a future trip less a 50% cancellation fee.

  • Within 7 days prior to trip start date, NO REFUNDS or credits will be given and no reschedule will be allowed.

  • Travel insurance can be purchased to cover the course fee and other costs.

Custom Private Trips and Courses

  • Over 30 days prior to trip start date, entire course fee and deposit is refunded less a 10% administrative fee on all moneys paid.

  • 30 days or less prior to trip start date, NO REFUNDS or credits will be given and no reschedule will be allowed.

  • Travel insurance can be purchased to cover the course fee and other costs.

Multi-Day Trips & Courses

Scheduled Trips and Courses

  • Over 60 days prior to trip start date, entire course fee and deposit is refunded less a 10% administrative fee on the 25% deposit. If balance has been paid prior to 60 days prior there is a 2.5% admin fee on the total balance.

  • From 60-30 days prior to trip start date, you may receive a credit for a future trip less a 50% cancellation fee.

  • Within 30 days prior to trip start date, NO REFUNDS or credits will be given and no reschedule will be allowed.

  • Travel insurance can be purchased to cover the course fee and other costs.

Custom Private Trips and Courses

  • Over 60 days prior to trip start date, entire course fee and deposit is refunded less a 10% administrative fee on all monies paid.

  • From 60-30 days prior to trip start date, you may receive a credit for a future trip minus a 50% cancellation fee.

  • Within 30 days prior to trip start date, NO REFUNDS or credits will be given and no reschedule will be allowed.

  • Travel insurance can be purchased to cover the course fee and other costs.

Rescheduling

Rescheduling a trip or a course is considered a cancellation and subject to the same policies.

International Trips

Scheduled Trips

  • 120 days prior to trip start date, entire course fee and deposit is refunded less a 10% administrative fee on the 25% deposit. If balance has been paid prior to 120 days prior there is a 2.5% admin fee on the total balance.

  • From 120 to 90 days prior to trip start date, the balance and deposit are refunded minus a 50% cancellation fee on all moneys paid.

  • Within 90 days prior to trip start date, NO REFUNDS or credits will be given and no reschedule will be allowed.

  • Travel insurance can be purchased to cover the trip fee and other cost

Custom Private Trips

  • 120 days prior to trip start date, a cancellation can be made less the 25% non-refundable deposit.

  • Within 90 days prior to trip start date, NO REFUNDS or credits will be given and no reschedule will be allowed.

  • Travel insurance can be purchased to cover the trip fee and other costs.

Cancelled or Underbooked Trips

Valhalla Mountain Guides reserves the right to cancel or reschedule trips due to inadequate sign-ups or for other unforeseen circumstances. No refunds will be made due to weather, uncontrollable environmental conditions and other unforseen circumstances beyond our control. Valhalla Mountain Guides reserves the right to reschedule or switch a trip to an alternative itinerary in the event of unforeseen circumstances beyond our control.

In the event a scheduled trip has been underbooked, we may be able to offer the option of a discount on our custom guiding rates to allow Valhalla Mountain Guides to still run the trip. This is at Valhalla Mountain Guides’ discretion. Otherwise the trip may be cancelled and you will receive a full refund.

Valhalla Mountain Guides is not responsible for any travel costs associated with cancelled trips. We highly recommend purchasing travel insurance to cover the cost of cancellation and trip fees and accident insurance. 

Weather Credits

All Valhalla Mountain Guides programs take place in dynamic mountain environments where weather and conditions are inherently variable. Courses and trips are designed to operate in a broad range of conditions, and participants should be prepared for changing mountain weather throughout the duration of their course or trip.

Valhalla Mountain Guides reserves the sole right to cancel, postpone, shorten, relocate, or otherwise modify any program when weather, snowpack instability, environmental hazards, access limitations, guide availability impacts, or other circumstances beyond our control create conditions that are determined to be unsafe or impracticable to operate. All such determinations are made at the sole discretion of the assigned trip leader and/or the directors of Valhalla Mountain Guides.

No refunds will be issued for cancellations, delays, or program modifications resulting from weather, environmental conditions, natural hazards, or other unforeseen circumstances outside the control of Valhalla Mountain Guides.

When a program operated directly by Valhalla Mountain Guides is cancelled prior to or during operation for the reasons outlined above, Valhalla Mountain Guides may issue a weather credit or partial weather credit toward a future domestic California program. The amount and applicability of any weather credit are determined solely at the discretion of Valhalla Mountain Guides. Weather credits are non-transferable and have no cash value. If a course is cancelled for these reasons and a weather credit is issued, clients must contact Valhalla Mountain Guides within 30 days of the course cancellation notice to reschedule to a specific date within that season. Failure to do so means that the client accepts that all monies paid wiil be forfeited.

Trip Insurance

We highly recommend protecting your trip costs by purchasing trip insurance, even if it is not mandatory. This can cover the trip costs, cancellation fees, your travel costs, etc. if there are unforeseen circumstances that prevent you from going on your trip.

International Trips

Trip insurance is mandatory for international trips with the following minimum limits:

  • Evacuation and Repatriation Coverage: $250,000

  • Medical Coverage: $50,000

Travelex Select and World Nomads Explorer are reliable plan that meets our Evacuation and Medical Coverage Requirements. Be sure to choose " Travelex SELECT"  OR "World Nomads EXPLORER" options.

If you choose another plan, please make sure that it meets the requirements listed above. We cannot accept limits below the minimums listed above.

Domestic Trips

Trip insurance is not mandatory but is highly recommended for domestic trips. Purchase the plan that best works for you.
